Here, reception isn't a desk — it's hosting. And it's your domain. You decide how it looks, how it feels, and how smoothly a day runs.
As the first point of contact at Somana, you're the face of our health studio — and for many clients, the reason they come back. Our therapists and trainers can only be fully present with their patients if everything behind the scenes holds: rooms prepared, fresh linen, materials where they belong. That's your area of responsibility, not your support work.
What You Own
Guest experience: You own how a visit to Somana feels — from the first phone call to the goodbye at the door.
Backing for therapy: You make sure our physiotherapists can focus on therapy and nothing else.
Scheduling: You plan, coordinate and send reminders independently through our practice software. You spot gaps and idle time in the schedule before they happen — and close them.
The state of the studio: You set the standard for order and cleanliness — reception, treatment rooms, bathrooms, kitchen, fresh linen — and you hold it even when the day gets busy.
Supplies: You notice when materials, linen or drinks are running low, before they run out. You decide on orders yourself, within your own budget.
Administration: Member records, taking in prescriptions and preparing billing sit with you.
Communication: Phone and email enquiries, post — you answer, prioritise and escalate what needs escalating.
Events: You organise small events and open days, from the idea to the tidied-up studio afterwards.
Team: You work closely with our interdisciplinary team and you're the person who holds the day together when it gets hectic.
What Success Looks Like After 6 Months
Our physiotherapists aren't searching for anything or organising anything. Rooms are prepared, linen is fresh, materials are there.
Patients are glad to come back and tell others about us.
At 8:00 the studio is immaculate — reception, treatment rooms, bathrooms, kitchen — and it still is at 19:00.
No guest waits longer than 30 seconds without being spoken to.
Nothing runs out, and nobody has to point it out to you.
Appointment utilisation has gone up, because you spot gaps early and fill them.
Two or three reception workflows run better than before — because you changed them, not because someone asked you to.
The team knows: when you're here, the day runs.
Who This Job Is Right For
You want the people here to be better off — and you understand that a clean bathroom and a prepared treatment room are part of that.
You see the smudge on the glass door before a guest does — and the empty soap dispenser too. You deal with both without making a thing of it.
You know that Mrs M. would rather have tea than water, and you put it there without asking.
When an appointment falls through, you have an idea within five minutes for how to still put that slot to good use.
You don't need a task list to get going. You see what needs doing, and you do it.
You stay friendly and calm even on the third full day in a row — your mood is something guests and the team can rely on.
You raise criticism directly and respectfully with the person, instead of spreading a mood through the team.
You bring front-desk experience: in a medical setting (physiotherapy or doctor's practice, clinic, health centre) or in hospitality (front office, boutique hotel, fine dining) — anywhere hosting is treated as a craft.
Experience with practice software like Theorg or Doctolib is a plus, but not a requirement.
You want responsibility — and more of it over time.

you need a clear task list to start your day.
order becomes a side issue for you as soon as things get busy. Bathrooms, kitchen and linen are as much part of this as reception.
you want to avoid late shifts as a matter of principle.
